How we work

From start to finish. Then on your own.

A journey in four stages: it starts from how your business works today and ends at the point where you no longer need us.

Where we start.

In many businesses the most delicate jobs are done well by just one person: the one who knows the price list by heart, who keeps the deadlines spreadsheet, who built the Excel file nobody else dares touch. As long as they're around and have the time, things run smoothly. When they go on holiday, change jobs or get buried in other work, everything slows down, and the cost lands on you.

AI can take the repetitive part off their plate on one condition: that it's built around how your business works, not on a one-size-fits-all model. That's why we always start with analysis.

The A.R.C.O. method, stage by stage.

Analysis

Before proposing any tool, we look at how the work is organised today, together with the people who do it every day, and find where hours are being lost and where AI pays off.

What we do
we study the work as it is and show you where to start, what to automate and what to leave alone. It often pays to begin with a small step that delivers results quickly: you see it working on your own tasks, and decide the rest with something concrete in front of you, not on trust.
What you do
you put us in touch with the people who know that work best, and you set the priorities.
What you keep
a written proposal that says where to start and why.

Realisation

We build the solution on your company's systems and the files you already use. Where fixed rules are enough we use automation; where reasoning is needed, an AI agent, always within limits you set.

What we do
we design, build and test every part. Decisions that matter stay in the hands of your people.
What you do
you provide real documents and examples; your most experienced people point out the exceptions that only experience teaches.
What you keep
documentation of every step.

Commissioning

We install the solution in your company and support the people who'll use it until they can run it alone. Ready-made solutions, such as the Deadline Tracker and Gomez, take a shorter route: they're installed in 48 hours.

What we do
we install, support and train your team on real cases, not textbook examples.
What you do
you choose who will use the solution every day and who will manage it.
What you keep
people who run the solution on their own, and two guides: one for everyday use and one for whoever administers it.

Optimisation

The first stretch of real use brings up cases no analysis can foresee. We fine-tune the solution on what actually happens every day, not on what was imagined on paper.

What we do
we correct and adjust until everything runs as it should.
What you do
you let us know, directly or through the people using it, what isn't right.
What you keep
a tool tuned to real work. From there, if you want, maintenance keeps it up to date: Standard so it works as it did on day one, Ultra so it also grows with new features.

The system stays with your business.

We don't hold on to what we build. It's installed on your company's systems, and the code, data, access and documentation stay with you.

Some components are services from other providers, such as AI models, and they're part of the picture from day one. Your proposal sets out which they are, what depends on each one and an estimate of all the costs, including what you'll pay them: you know from the start what it costs to keep everything running. If one day you want to hand management to someone else, inside or outside the company, they'll find everything they need to get started.

On site, remote or hybrid

We can work at your premises, remotely or a mix of the two: we decide together, case by case. We handle every project personally and bring in trusted professionals when needed.

Got an idea already? Good. Haven't got one? That's fine too.

If you have, tell us about it in the form. If not, describe the task that takes up most of your time today. In the free consultation we'll talk it through and tell you frankly whether it's worth doing and where to start.
